Seven in the morning. The inbox says 84 unread, the calendar holds three meetings with no prep behind any of them, and somewhere in a Thursday thread sits a follow-up you promised and forgot.

That is the morning an executive assistant exists to fix. Search for an AI one and most list articles come from companies that sell an AI assistant and rank their own first.

So does this one. Gravity is my company and it is listed first, which is exactly why the routing at the end sends you to competitors before it gets to mine.

Here is the honest version. An AI executive assistant is sold as one product, and it is really seven jobs. Four of the eight tools below name two or three of those jobs on their pricing pages, and one names all seven. I read every pricing page on 17 September 2026 to find out which.

What an AI executive assistant does (and the seven jobs inside it)

An AI executive assistant is software that takes over the administrative work around an executive's time and attention: reading and sorting email, drafting replies, booking meetings, preparing for them, recording what was agreed and chasing it afterwards. Some tools act on your behalf. Others draft and wait for your approval.

Search for an AI admin assistant and you are asking for the same thing. Split the job the way an EA would describe their week and you get seven parts:

  1. Inbox triage. What needs you today, and what can wait until Friday (inbox triage with an AI agent goes deeper).
  2. Reply drafting.
  3. Scheduling, including the back-and-forth across time zones.
  4. Meeting prep: who is in the room and what they said last time.
  5. Meeting notes and follow-ups.
  6. The daily brief, one page before the first meeting.
  7. Chasing loose ends, like that Thursday follow-up.

Every tool below is a bet on which of the seven hurt most.

How I compared them

Eight tools, five checks, every answer taken from the vendors' own pages:

  • What I read. Each pricing page and its feature lists on 17 September 2026, plus the Lindy and Superhuman homepages and Google's Gemini Enterprise page. I opened no trial accounts, so nothing here judges output quality.
  • Where the assistant lives. Inbox, calendar, chat or the office suite you already pay for, which decides whether your habits change.
  • Which email providers. Gmail, Outlook or both, where the page says.
  • Acts or drafts. Does it send and book on its own, or prepare the work and wait for you?
  • Price per person. The starting paid plan per user or seat a month, and the meter under it.

The coverage matrix follows one rule: a job counts only when the vendor's page names it.

Per person a month, as each pricing page showed it on 17 September 2026. Fyxer AI, Superhuman, Reclaim.ai and Microsoft quote annual billing. Motion's pricing page did not resolve its billing state, so no billing period is asserted for it.

Which assistant covers which part of the job

Lindy is the only tool whose pricing page names all seven jobs. Five others name a slice: Fyxer AI and Superhuman sit on email, Motion and Reclaim.ai sit on the calendar, and Gemini sits inside Gmail.

Yes means the page names the job; a short note gives the part covered or the plan needed. Superhuman's Partly is custom auto labels on Business, and Gemini's is find and summarize in Gmail. Not listed means the page I read did not mention it.

Scheduling is the crowded column, named on five pages. Meeting prep and the daily brief appear on exactly one, Lindy's, so if those two eat your mornings the shortlist is short. Meeting prep research with an AI agent covers that job on its own.

Microsoft's row reads Not listed end to end: its plan grid names the apps Copilot appears in and no jobs. Gravity's row carries no job marks, because its coverage depends on which agents builders have published.

1. Gravity: best for recurring EA tasks on Google Workspace and Slack

The Gravity app: a prompt box asking what you want to get done

This is my company, so weigh this section accordingly. You describe a task in plain words, Gravity matches it to an agent an independent builder already made, and that builder keeps it working.

For EA work, the sentence can be: every weekday at 7am, email me a one-page brief of today's meetings and the emails that need my reply. If a builder has published an agent for that job, you get matched to it.

At alpha, agents connect through sign-ins to Google Workspace, Slack, Notion, HubSpot, Pipedrive and Xero, plus webhooks and RSS. Of the 88 launch agents, 79 run on Gmail, 55 on Sheets and 26 on Slack, so the natural first jobs to hand over live in your inbox and your channels. A Gmail AI agent or a Slack AI agent shows the shape of that work.

Where it stops for an executive

There is no Outlook connection at alpha, so an Outlook shop should look at Fyxer AI, Superhuman or Copilot first. Gravity is neither an email client nor a calendar app, and there is no file upload yet. Anything that would message someone on your behalf waits for your approval.

2. Lindy: best for one assistant across Slack, inbox and meetings

Lindy's homepage on 17 September 2026, headlined The AI teammate that will 3x your output.

Lindy's page is the only one of the eight that names every job on the list. Inbox management, replies drafted in your voice, meeting scheduling, prep and follow-up, recording and notes, daily briefs, and nudges and catch-ups are all included on every plan, as of September 2026.

It works where a founder already talks: Slack threads and mentions, iMessage, and up to five connected inboxes. The page also lists scheduled routines, persistent workspace context, 40+ skills plus your own, and approvals built in.

How the credit meter changes your budget

Each plan is priced per user with a credit allowance: Plus at $29.99 a month with 3k credits, Pro at $99.99 with 15k and Max at $199.99 with 35k, as of September 2026. The page prices everyday asks at 2 to 250 credits each, so 3k credits is generous or thin depending on which end your asks land.

Enterprise goes through sales and adds HIPAA with a BAA, plus audit logs. Use the 7-day free trial to count credits on an ordinary week before adding a second seat, and read Gravity vs Lindy if you are weighing the two.

3. Fyxer AI: best for drafts waiting in Gmail or Outlook

Fyxer AI's homepage on 17 September 2026, headlined Fyxer makes sure you never miss anything important, with sign-up through Google or Microsoft.

Fyxer AI works inside the inbox you already have, and its page names both providers: Gmail and Outlook. Starter drafts replies in your voice for one inbox and calendar, and sends a notetaker that joins your meetings and takes notes.

Professional adds multiple inboxes and calendars, scheduling across teams and time zones, a HubSpot integration, and Fyxer Chat, which answers questions from your inbox and meeting notes.

The plan that includes scheduling

If booking meetings is part of what you want gone, budget for Professional, since that is where scheduling appears. One person with one inbox who wants drafts and notes can stay on Starter.

4. Superhuman: best if you are ready to switch email clients

Superhuman is an email client with AI built in, which makes it a different purchase from everything else here. You change where you read mail, and the AI comes with the move. On 17 September its homepage led with Superhuman Go, an AI assistant across apps, with a link for anyone looking for Superhuman Mail.

Starter or Business?

Starter is $25 per member a month billed annually, with email productivity, Superhuman AI, and calendar and scheduling. Business, at $33 billed annually, holds the EA-shaped features: auto drafts, Ask AI, custom auto labels and CRM integrations. Teams of five or more get 15% off Business, and Enterprise adds SSO and admin controls through sales. As of September 2026.

5. Motion: best when the calendar and the project list are one problem

Motion's homepage on 17 September 2026, headlined Get an unfair advantage by using AI to double productivity.

Motion puts AI chat, projects and tasks, a calendar with meetings, docs with a wiki and notes, a task planner and a writer into one app. Against the seven jobs it names one, scheduling. Email is absent from its list.

Motion's pricing page offers both an Individuals and a Teams tab and both a monthly and an annual toggle, and repeated reads did not resolve which state produced these figures. Pro AI is $19 per seat a month and Business AI is $29, as of September 2026. Pro AI includes 7,500 credits per seat a month, and the page offers a free trial.

6. Reclaim.ai: best if the calendar is the whole problem

Reclaim.ai's homepage on 17 September 2026, calling itself the number one AI calendar for work, with the words from Dropbox under the logo.

Reclaim is the calendar specialist of the eight, and its logo now reads "from Dropbox". Lite is free forever and runs five AI agents on your calendar (Focus Time, Habits, Buffer Time, Smart Meetings and Meeting Quality) alongside scheduling links.

Meeting action items become task suggestions

Reclaim recommends tasks from meeting action items, hence the Action items note in the matrix. Lite connects Google Tasks, Slack, Zoom and Google Meet, and paid plans add Todoist, Asana, ClickUp, Jira and Linear.

7. Microsoft 365 Copilot: best for companies already on Outlook

The Microsoft 365 Copilot page on 17 September 2026, headlined AI built for work.

If your company runs on Outlook, Copilot is the default. It needs a Microsoft 365 tenant. The plan grid lists Copilot in Outlook, the Microsoft 365 apps and Teams, plus Notebooks, memory and personalization, and names none of the seven jobs. Before anyone buys a second assistant, ask whoever runs your Microsoft 365 what the company already pays for.

Four prices on one page

Microsoft 365 Copilot is $30.00 per user a month paid yearly. Copilot Business is marked originally from $21.00, now from $18.00, per user a month paid yearly, or $25.20 billed monthly. Business Standard with Copilot is $23.50 and Business Premium with Copilot is $32.00, both per user a month paid yearly. As of September 2026.

8. Gemini in Google Workspace: best if your company already pays for Google Workspace

Google Workspace's AI page on 17 September 2026, headlined AI tools for a better way to work.

The Workspace pricing page lists Gemini in Gmail, to “find, summarize, and write emails faster with AI”, and Gemini in Docs as plan features. That is drafting and part of triage, inside the inbox your company already pays for. The page served prices in Indian rupees to my location on 17 September 2026, so I quote no dollar price; check it from yours.

Google's agent product for teams

Gemini Enterprise has its own page. The Business edition, for small businesses and teams, starts at $21 USD per seat per month with a 30-day trial, as of September 2026.

Eight tools in, the quickest check is still one sentence. Write the morning brief you want, then Apply to the alpha with it. The first agent is free.

If you are the executive assistant

The same search serves a second reader: the human EA who wants to get through the week faster. Drafting and scheduling are volume work, so start there, with Fyxer AI or Superhuman for drafts and Reclaim.ai's free Lite plan for the calendar. Several inboxes point to Fyxer Professional or Lindy.

What stays with you is the part your executive hired you for. Knowing which of 84 unread comes from the person who matters this quarter. The favour from a chief of staff who moves a meeting. The confidential call nobody writes down.

Will AI replace executive assistants? I have no data that answers it. A first draft of board meeting prep or the investor update can come from software, and the EA still decides what the board sees. Weighing a tool against a hire? AI agent vs hiring a virtual assistant works through that trade.

What an AI executive assistant still cannot do

Four limits apply to every tool here, mine included:

  • Judgment on who matters. A one-line email from a former colleague might be the introduction your round depends on, and no pricing page here claims to know that.
  • Anything that runs on a relationship.
  • Access you should not grant on day one. Start with read and draft, and widen it after a few weeks of watching.
  • The approval itself. Somebody still reads the draft before it goes, the same way someone signs off an expense report approval.

Which one should you choose?

Start with the job that hurts, then check where you already work. On Outlook and want drafts waiting: Fyxer AI. Its page names Outlook, and drafting starts on Starter.

Happy to switch email clients: Superhuman. Go straight to Business, where auto drafts live.

Reclaim.ai first if the calendar is the pain and the inbox is fine, since Lite costs nothing; Motion if projects are tangled into the same calendar.

Your company already pays for Microsoft 365 or Google Workspace: start with Copilot or Gemini.

One assistant across Slack, inbox and meetings, prep and daily brief included: Lindy. Count credits for a week before budgeting more seats.

Gravity comes last, and only for what it fits. Apply to the alpha if you run on Google Workspace and Slack and can describe the EA task in one sentence; on Outlook it is the wrong pick at alpha. Will AI completely replace executive assistants?

I have no data that answers that, and I would not trust a confident percentage from anyone selling a tool, me included. The pages I read sell drafts, labels, scheduling and notes. Judgment, relationships and confidential calls appear on none of their feature lists.

How can I build an AI executive assistant?

You can build one on a workflow tool such as Zapier or n8n, connecting your inbox and calendar to an AI step and repairing the flow when it breaks. Or you can buy one that exists, such as Fyxer AI or Lindy, or describe the task on Gravity and get matched if a builder has published an agent for it. Building buys control; buying gives back the hours maintenance would take.

What would an executive assistant use AI for?

Mostly volume work: drafting replies, scheduling across time zones and turning meetings into notes and follow-ups. Reclaim.ai's free Lite plan and the 7-day trials from Fyxer AI and Lindy are cheap ways to find out what helps.

Are admin assistants being replaced by AI?

I have not seen evidence I would quote either way. The pricing pages I read sell specific tasks, like drafts, labels and scheduling, per person a month.
