The post-meeting half hour is the most common place where good intent dies. People agreed to do things; nobody captured who, by when, or what exactly. The follow-up email never goes out. The action items never become tasks. The next meeting starts with a re-litigation of the last one. An agent that turns a meeting note or transcript into a clean, owner-tagged action list is the cheapest fix.

The shape: read the notes, extract action items, draft a summary, queue tasks. The first version drafts; the human owner reviews. After the extraction quality stabilises (two to three weeks), the agent graduates to creating tasks directly in your stack.

The agent reads a meeting artifact (notes pasted into a Notion page, a transcript file from your conferencing tool, a Slack thread, a Google Doc). It extracts:

What goes in

Inputs vary by team. Notes work best when consistent; transcripts work best when accurate.

Pick one consistent input source per meeting type. Mixing inputs week to week makes the agent's behaviour inconsistent and surfaces "the agent missed it" complaints that are actually input drift.

What comes out

One artifact per meeting:

  1. Header. Meeting title, date, attendees, duration.
  2. Summary. Three to five sentences.
  3. Decisions. Bulleted list of resolutions.
  4. Action items. Owner, action, deadline. Items without an owner are tagged "unowned".
  5. Open questions. Things that need further discussion.

Send to a fixed location. Slack channel for quick visibility, email for handoff to people who were not in the meeting, the original doc as an appended section for posterity.

Owners and deadlines

The single most useful behaviour: never guess the owner. If the transcript says "Aryan will draft the proposal by Friday", the agent assigns Aryan with deadline Friday. If the transcript says "we should do this", the agent marks "unowned" and the meeting host assigns in review.

Guessing produces silent wrong assignments. Tasks land in the wrong queue, the wrong person sees them and ignores them, the actual owner never knew, the work drops. Mark unowned and let the human resolve. The reviewer's two-second click is cheaper than a missed deliverable.

Same rule for deadlines. "Soon" is not a deadline. "By Friday" is. The agent should distinguish and never invent a date for an item that lacks one.

Once the agent's extraction quality is consistent (two to three weeks of supervised drafts where the action items are accurate), graduate to creating tasks directly in your team's tool.

Recording is the part most teams handle wrong. Two rules:

The default policy is on the meeting invite: "this call may be recorded and transcribed for action-item extraction; reply to opt out". Opt-outs go through the meeting host, not the agent.

30-day reality check

After a month:

The implicit-decisions problem. The team made decisions that nobody named explicitly ("we'll go with the first option"). The agent missed them. Fix: train the host to say "decision: option one" out loud before moving on.

The vendor problem. Calls with vendors include sales pitches the agent dutifully transcribes as decisions. Add a filter to ignore non-attendee monologues, or run the agent only on internal meetings.

The double-summary problem. The conferencing tool already produces a summary. Yours produces another. Pick one. Two summaries means people read neither.

Recurring meetings vs one-offs

Recurring meetings (weekly standups, monthly business reviews, quarterly board prep) and one-off meetings (sales call, hiring panel, ad-hoc strategy) need slightly different agent behaviour.

For recurring meetings, the agent should reference the prior week's action items: which closed, which remained open, which became blockers. The summary becomes a thin chronological thread. The team's habit of "we said we'd do this last week" gets reinforced rather than evaporating, because the agent surfaces it without needing the host to remember.

For one-off meetings, the agent should not assume context from prior runs. Each summary stands alone, with explicit references to the meeting (date, attendees, purpose) so the artifact is interpretable a month later by someone who was not there.

Configure these as separate agent variants. Recurring meetings get the chronological flag. One-offs get the standalone flag. Mixing them produces summaries that reference meetings the reader did not know existed.
