Sharing an AI agent with a team is the moment most agents quietly turn into a liability. The agent that one person built, supervised, and trusted now runs on inputs from people who did not write the prompt, with credentials that nobody really tracks, and produces output that is attributed to whoever was logged in. Pick one owner

The single most useful decision is naming a person. The owner answers four questions about the agent on demand: what is it doing right now, who is allowed to use it, what does it cost, and how do you turn it off. If two people share that role, neither will check the audit log because they assume the other did.

Ownership can rotate. It cannot be ambiguous. When the owner changes, write the change in the agent description and tell the team. The handover note belongs in the agent itself, not in a Slack DM that someone screenshotted.

Create a service account scoped to only the systems the agent needs. Store the credentials in your secrets manager. Reference them by name in the agent configuration, never inline in a prompt. Require a second-person review

The cheapest reliability investment is a two-person review on prompt and access changes. Not on every run; runs are routine. On any edit that changes what the agent does or what the agent can reach. A second pair of eyes catches the obvious missteps: the new permission added to debug something three weeks ago and never removed, the prompt edit that quietly removed a guardrail.

Keep a per-run audit trail

Every run produces a trace: who or what triggered it, what the agent read, every tool call with its arguments, what was written, and how much it cost. Traces are how you answer the question "what happened?" three weeks after the run. Without traces, a shared agent is opaque, which makes it both unsafe and unfixable.

Retention for ninety days minimum. Some compliance regimes (SOC 2, ISO 27001) require longer. The retention budget is small; trace data compresses well, and the operational benefit pays for it the first time you have to investigate a wrong action.

Offboarding and handover

When a team member leaves, three things happen the same day: their direct access to the agent is removed, any agents they owned are reassigned with a written handover note, and any service-account credentials they uniquely held are rotated. Handover documents do not need to be long. Five lines: what the agent does, who depends on its output, where the budget sits, what the most common failure mode looks like, who to escalate to. The new owner reads it on day one and updates it within a week. That is the entire ceremony.

Solo founders and tiny teams

The rules above scale down without disappearing. A solo founder's "team" is one person; ownership is trivially clear.
